Guidelines

Guidelines for scientific session chairs and moderators in NOK 2012

Please arrive at the session venue at least 5 minutes before the start of the session. Please co-ordinate your approach to the session with your fellow Chair/ Moderator.

Please start each scientific session on time. Introduce the session theme and the Chairs/Moderators. Please remind speakers of their speaking time:

- Free Papers: Usually 12 minutes for presentation with 3 minutes at the end for discussion, but this may vary depending on the number of papers
- Rapid Fire: 4-5 minutes for presentation with 2 minutes at the end for discussion
- Courses and symposia: individual circumstances will apply

Please remind all delegates that photography and recording of the talks is not permitted.
Briefly introduce each speaker, where they come from and give the title of the presentation.
Please indicate in this booklet whether or not the talk was presented as planned.

In case of a no show or cancellation, fill the space with discussion, because delegates may wish to change lecture halls to listen to particular papers at scheduled times.

Please start Q & A once presentation is completed. Try to have at least one question prepared if it is needed.
As a matter of courtesy to participants of the subsequent session, each session MUST be finished on time.

Instructions for oral presentations at NOK 2012

All presenters must read the following instructions:

Uploading of presentations in Speakers room starts from Friday, August 24, at 13:00.

The supported software for presentation is PowerPoint, Keynote is not allowed. When using videos, MPG and AVI are the most used video formats. Movies created in (Apple) QuickTime: convert them to MPG or AVI before inserting the video in your presentation. Save the videos used in your presentation on your CD/USB memory stick.

Every author must declare any financial or commercial conflict of interest in the method, drug or equipment featuring in the poster. Please include your conflict of interest statement in your first slide.

Oral presenters in the free paper sessions should reserve three minutes time for discussion. Generally this means 12 min speaking time and 3 min discussion. The time may vary between sessions depending on the number of papers. Please consult the program on line. The session chairman will strictly enforce this schedule.

Rapid fire presentations should last no longer than 4-5 minutes with a 2 further minutes for questions from the audience. We strongly recommend that you do not use more than 2-4 PowerPoint slides for the rapid fire presentations.

In the Speakers room, a technician helps the speaker to transfer his or her presentation. When the transfer is complete, the technician performs a quick run of the presentation so the speaker can check whether the presentation runs correctly and all parts of the presentation are copied. Desktop computers will be available at the Speakers room for last minute changes and reviewing your presentation, if needed.

Inside each presentation room, when the presentation is launched, the speaker has control and can navigate with a remote device.

We do not allow the use of personal laptops for presentations. The easiest way is to bring your presentation on CD, DVD or memory stick. E-mailing or up-loading of presentations is not encouraged but can be used under special circumstances.

At the end of the congress, all presentations will be deleted so that no copyright issues will arise corresponding with their topic.


Instructions for poster preparation at NOK 2012

All posters have to be presented in printed form.

Posters must be brought to the congress by the presenting author and should not be mailed in advance. The maximum dimensions are 95 cm (width) by 150 cm (height).

Every author must declare any financial or commercial conflict of interest in the method, drug or equipment featuring in the poster. Please include your conflict of interest statement in your poster.

Each printed poster is exhibited for the entire duration of the congress. All posters should be erected between 8:00 and 9:00 on Saturday 25 August 2012 and must not be removed until 10:15 on Tuesday 28 August 2012. NOK is not responsible for any poster left behind at the end of the congress.

You are required to stand beside your poster during your poster session either on Saturday, Sunday or Monday from 13:00 to 13:30. During this time, moderators will be voting which poster should win the 250 EUR poster prize. The poster prize will be awarded for the best poster in each of the three sessions. The winners will be announced during the Closing Ceremony on Tuesday 28 August 2012 at 13:00-13:30 which includes the prize giving ceremony. Please make sure that you or one of your co-authors attends.

Some authors of posters, selected by the programme committee, have been invited to give a brief “rapid fire” oral presentation. These authors are requested to present their work with 2-4 slides and a 4-5 minute oral presentation followed by 2 min discussion in a congress session corresponding with their topic.
